WhatsApp Chat Labels / Chat Notes for Teams on One Shared Number
What you get
Shared labels on one WhatsApp number
Add color-coded labels to conversations in your team inbox, so agents on your shared number can work from one conversation status, such as quote sent or support open. Check the documentation for edit permissions and update timing.
Internal chat notes for context
Chat notes hold what a label cannot: the agreed price, the promised callback, the reason for a delay. In WASenderPlus, they are a private note for your team, not a message sent to the customer.
Filters that build your daily to-do list
Filter chats by label each morning and work one queue at a time. An awaiting payment label, for example, gives you a short list of chats to chase first. The same logic applies in a shared inbox.
Handoff context between agents
A conversation handoff needs two things: a status and a reason. The label shows the pipeline stage. The note tells the next agent what was said, what was promised and what happens next.
Labels that match your broadcast segments
Name labels to match a status column in your Google Sheets add-on list. You can then segment WhatsApp contacts by stage and send a broadcast only to your quote sent or awaiting payment group.
How it works
Agree your label taxonomy
Write down each label, its trigger criteria and the next step it demands. A 7-label system can combine sales stages, risk and support status: new lead, hot lead, customer, lost, at risk, support open, support closed.
Add labels to live conversations
Open a conversation in the team inbox and apply the label that matches its stage. Change it when the stage changes, so no chat carries a stale conversation status.
Write a note at each handoff
Add a chat note whenever the next step passes to someone else. Record the request, the promise, the next owner and the deadline, then add your initials and the date.
Filter your queue each morning
Filter chats by label and work through follow-ups, awaiting payment and support open in turn. Run a weekly follow-up review to close or relabel anything that has stalled.
Send to one segment at a time
Filter your Google Sheets list by the matching status, remove opted-out contacts, then queue the broadcast. Replies return to the shared inbox, where the next label and note begin.
Consent and data handling
Labels organize chats. Consent and opt-outs decide who gets messaged.
A label records where a conversation stands. It does not record consent. Keep opt-in proof in your list, and treat every opt-out as separate from your label taxonomy.
WASenderPlus matches opt-out keywords in 9 languages; check its documentation for where suppression applies. Treat a contact labeled hot lead who opts out as opted out, whatever the label says, and review that status before each broadcast.
Pacing is a queue management setting, not a permission. WASenderPlus defaults to a gap of 4–40 seconds between sends. Its settings allow up to 250 sends a day on a fresh number and 6,000 on a warm number.
At 250 sends, configured delays alone total roughly 17 minutes to 2.8 hours; actual completion time varies. These are WASenderPlus operational settings, not WhatsApp-published limits, and they do not establish platform permission, account eligibility or legal compliance.
Keep consent records outside labels
Store where and when each contact opted in in your list, not in a label. Labels change with every pipeline stage, so they make a poor record of permission.
Check reply capacity before you send
Send a segment only when someone can answer it. Check who covers the team inbox during the queue window, then track open replies under your follow-up label.
Give notes a data rule
Agree what never goes in a chat note: payment card numbers, passwords and sensitive personal details. A note is customer data, so apply your normal privacy and retention policy.

More questions on labels and notes
What are WhatsApp chat labels?
WhatsApp chat labels are named, color-coded tags you attach to conversations in the WhatsApp Business app. They let you filter chats by status, topic, urgency or customer type instead of scrolling through your whole inbox.
What are WhatsApp chat notes?
As used here, chat notes are internal text records in the WASenderPlus team inbox, not a WhatsApp label feature. Check WhatsApp guidance for native options. A note records the request, the promise and the next owner.
How do I create a label in WhatsApp Business?
Open Business Tools, tap Labels, then New Label. Name the label and choose a color. Menu wording varies by device and app version, so check the WhatsApp Business Help Center if your screen differs.
How do I assign a label to a chat?
You have two routes. Long-press the chat in your list, tap Label and select a tag. Or open the chat, tap More Options, the three dots, choose Label Chat, and select or create a tag.
Which labels should a business use?
Start with your sales and support stages. One starter set is new lead, hot lead, customer, lost, at risk, support open and support closed, which you can split by team.
Order-based businesses can add quote sent, awaiting payment and completed, each with a defined next step. Keep only the labels your team will actually filter on.
How many labels can a WhatsApp Business account have?
The limit can change, so check the current WhatsApp Business Help Center guidance rather than relying on a third-party figure. Whatever the limit, a shorter label list is simpler to teach a team.
Can customers see WhatsApp labels or chat notes?
Treat labels as markers that help your team find chats, and check current WhatsApp guidance for what customers can see. WASenderPlus chat notes are written for your team, so keep note text out of the messages you send.
Why are my WhatsApp Business labels missing?
Check your app type, device and version against current WhatsApp guidance. Labels are covered here for the WhatsApp Business app, so confirm you are using it and update it. If labels still do not appear, check the Help Center.
Why do I see Lists instead of Labels in WhatsApp Business?
Menu names can differ by app type, device and version, so your phone may not match a colleague's. Do not assume Lists and Labels work the same way until current WhatsApp guidance confirms it.
Can WhatsApp labels be assigned automatically?
Automatic labeling depends on the specific app or inbox integration, so check its documentation for supported triggers. Keep judgment labels such as at risk with an agent, since they depend on context.
When do labels stop being enough for a business?
When follow-ups get lost, several agents share a number, or colleagues keep asking what happened in a chat. Those signs matter more than contact count, and they are reasons to consider a team inbox or CRM.
Do WhatsApp labels replace a CRM?
Not for long deal records. Labels show a chat's current stage, while a CRM holds history and reporting. You can use both, with each system owning different fields.
Can my whole team share labels and notes on one number?
Yes, in WASenderPlus, your team works a shared number from a team inbox, where labels and chat notes sit with the conversation. Confirm roles and update timing in the documentation, then agree a note format with initials.
Can I send a broadcast to a single label group?
Yes, with a matching list. Keep a status column in Google Sheets using your label names. Filter to a stage such as quote sent and remove opted-out contacts. Then send through the WASenderPlus Google Sheets add-on.
Do labels change how opt-outs work?
No. A label describes a conversation stage and does not record permission. Treat anyone who opts out as opted out, whatever their label says, and confirm where WASenderPlus's opt-out handling applies before each broadcast.
What should I keep out of a chat note?
Leave out payment card numbers, passwords and sensitive personal details. A chat note is customer data, so it should follow your privacy policy and retention rules. Include notes when you review a customer's deletion request.
How much does WASenderPlus cost for a team?
WASenderPlus has an Entry plan at $6/mo and a Team plan at $19/mo. If several agents share a number, start by checking the Team plan, then confirm billing, seats and numbers on the pricing page.
How chat labels and chat notes work in practice
What WhatsApp chat labels are, and what they are not
WhatsApp Business labels are named, color-coded markers you attach to a chat in the WhatsApp Business app. Their job is chat organization, so you can find chats quickly instead of scrolling.
Keep the product boundary clear. Labels in the app are a WhatsApp feature, while shared labels and notes in the team inbox are WASenderPlus features. Do not assume the two sync unless the documentation confirms it.
A label answers one question: where does this chat stand? It holds no history and no detail, and it is not a message or contact record. That narrow job is why the chat note exists.
What chat notes are and how they differ from labels
A chat note, as used here, is free text your team writes in WASenderPlus about a customer or conversation. A label sorts many chats into a group, while a note explains one chat.
Write each note so someone new can act on it. For example: "Customer requested revised pricing for 12 units. Send updated quote by Thursday, 3 p.m. ET. Next owner: Sarah. Quote reference: Q-1042."
Compare them directly. Labels are short, shared and filterable, while notes are longer, specific and read inside the chat. Use a label when you will filter on it, and a note when you will read it.
How to create and assign a label in the WhatsApp Business app
In the app, open Business Tools, tap Labels, tap New Label, name it and choose a color. You can also start inside a chat through More Options, the three dots, then Label Chat.
To assign a label from your chat list, long-press the chat, tap Label and select the tag you want. Paths can differ by device and app version, so check the WhatsApp Business Help Center if a step differs.
Set a rule before you start. Give each new label a trigger and a next step where you can. Without those two, the label can add clutter and leave your team unsure what to do.
Why you may see Lists instead of Labels
Do not assume Lists and Labels are the same feature. What appears can depend on your app type, device and version, so your phone may not match a colleague's phone.
If your labels are missing, check your app type, device and version against current WhatsApp guidance. Confirm you are on the WhatsApp Business app, then update it before you troubleshoot further.
Mixed interfaces can affect training more than workflow. Write your setup guide around the outcome, such as finding chats by stage, and not around one menu name. Add the date you last checked the steps.
A 7-label starter set and what each label triggers
Mursa's lifecycle system uses seven labels, which fit three dimensions. Sales stages are new lead, hot lead, customer and lost. Risk is at risk. Support status is support open and support closed.
Only the sales labels map closely to a pipeline stage in the customer journey. Treat risk and support as separate optional categories, or keep separate sales and support sets for each team.
Add the next step per label yourself. New lead means reply and qualify. Hot lead means send a quote. At risk means a personal check-in. Support open means someone must answer, and a note names the owner.
Selling on WhatsApp? Stages such as quote sent, awaiting payment and new customer can work well. Add paid / preparing and completed if you fulfill orders, and only when someone acts on them.
Choose a primary categorization criterion for your label set
You can organize by topic, urgency, customer type or order status. These are different dimensions, and a single chat can be urgent, unpaid and a repeat order, so decide how they fit together.
Pick the criterion your team filters on most as your primary set. A sales team might choose sales-funnel stage. A support team might choose urgency. Put remaining detail in a chat note, where it stays readable.
Run this check before adding a label: would anyone filter by it this week? If not, write it in a note. Too many unused labels are where a cluttered inbox starts.
Shared status and handoffs on one WhatsApp number
On a shared number, a label becomes a signal between people. A shared status tells a colleague whether a chat is handled, waiting or blocked, but it does not by itself say who owns the work.
Use a note format everyone follows: what the customer asked, what you promised, who owns it next, and the date. Add your initials at the end, so a reader knows who to ask.
For a transfer to another department, change the label and write the note together. Sales to support works the same way: support open plus a note naming the order, the issue and the next owner.
Worked example: turning a label into a broadcast segment
Your sheet has a status column with the same names as your labels. Filter it to quote sent, remove anyone opted out, and you have an audience segment for a single message.
Write for that stage: "Hi [First name], your quote is still open. Reply here with any questions." WASenderPlus allows up to 3 message body variants per broadcast, so you can word the follow-up differently.
These are WASenderPlus operational settings, not WhatsApp-published limits or guarantees. Run awaiting payment as its own send with its own wording. Then label each reply so your next filter shows the new stage.
Can labels be applied automatically?
Automatic labeling depends on the specific app or inbox integration. Check the WhatsApp Business Help Center or the tool's documentation for supported triggers before you build a process on it.
Decide what should be automatic before you look for a tool. Rules fit clear signals, such as an opt-out keyword, which WASenderPlus's opt-out handling deals with outside your labels.
Keep judgment calls with people where you can. "At risk" and "hot lead" depend on tone and context, so let an agent apply them. Automate customer categorization only where a wrong label carries little cost.
Label governance: naming, ownership and retiring labels
Give a single person ownership of the label taxonomy. Agents can request a new label, and the owner checks for overlap first. That step catches pairs like payment pending and awaiting payment.
Set a naming pattern: stage first, in the same wording every time. Use a color family per group, such as green for paying customers and red for problems.
Review labels on a fixed schedule. Retire any label nobody filters on, then move its chats to the nearest active label. Check the current limit in the WhatsApp Business Help Center, and treat it as a ceiling.
Privacy and retention for internal notes
A chat note about an identifiable person is customer data. Applicable US state laws, such as CCPA/CPRA, and GDPR may apply where relevant, so ask your adviser how your privacy notice should describe notes.
Write only what the job needs. Leave out payment card numbers, passwords, health details and opinions about a customer. Write every note as if the customer could one day request a copy.
Set a retention period that matches your existing records policy, and apply it to notes too. Review access and deletion requests subject to legal exceptions, and include notes and labels in your checklist, not just the contact row.
When labels stop being enough
Use labels when they reduce missed follow-ups or make conversations easier to find, regardless of contact count. No single contact count settles it, so judge by what your team keeps losing, not by list size.
Volume is only one trigger. Look for these signs. Several people share a number, follow-ups get lost between shifts, or you keep asking colleagues what happened in a chat.
Compare the app's current collaboration capabilities with your requirements for assignment, permissions, notes and reporting. A team inbox targets several agents on a shared number, while a CRM suits long deal records and cross-channel reporting.
Migrating from app labels to a team inbox
Start with an audit. List every label in your app, review the chats under each, and mark any label with no clear next step. Retire those before anything moves to your team inbox.
Next, merge duplicates and rename the rest using your new pattern. Copy active contacts into your Google Sheets list with a status column using those names, and confirm each contact's opt-in.
Finish with a cutover date. Do not assume app labels import automatically, so agents write a short chat note on every open conversation they carry across. Closed chats stay where they are unless the customer returns.
Keeping labels and notes consistent with a CRM
Decide which system owns each field. In one workable split, your CRM owns the deal record and your inbox owns the live conversation status. Your sheet holds the broadcast list.
Confirm current integration options in WASenderPlus's documentation before you plan a sync. If you have no direct connection, match status names across systems and update your Google Sheets list on a set schedule.
Keep notes out of any sync unless a second team needs them. Copying free text into more systems spreads personal data further and gives you more places to honor a deletion request.
A daily and weekly routine for follow-ups
Begin each day by filtering on follow-up, then awaiting payment. Treat that filtered view as a morning to-do list. Work from top to bottom and relabel each chat as you finish it.
Once a week, check every chat still on quote sent or hot lead. Either send the next step, move it to lost, or write a note saying why it is waiting.
Mursa describes a freelance copywriter who used labels to find forgotten leads in her contact list. Treat that as an anecdote, not a benchmark. What carries over is the habit of reviewing each stage.
