What you get
Prepare reusable messages around your customer data
Start with an appointment reminder, order update or sales follow-up. Replace customer fields before sending. Keep example copy separate from Meta-approved templates registered to your account.
Work from your existing list
Use the WASenderPlus Google Sheets add-on or Chrome extension for your messaging workflow. Check first name, appointment date and consent records before preparing your audience.
Connect broadcasts with team replies
Run your messaging through a shared number and handle conversations in the team inbox. Choose a reply owner before sending appointment confirmations or support follow-ups.
How it works
Choose the purpose and sending route
Decide whether your message is marketing, utility or authentication. Then decide whether it goes out as Business App wording or as a reviewed Platform template, because only one requires approval.
Map fields and inspect the message
Match each placeholder to its contact or order field. Preview a populated message, check destination links and hold contacts with missing dates, names or references.
Check permission and account eligibility
Review opt-in proof and suppression before sending. For Platform workflows, open your account's template manager and read the actual template status; copied examples are not evidence of approval.
Prepare the queue and reply handoff
Use paced sending to manage your outbound workload. Tell your team inbox operators which campaign is running and who handles confirmation, rescheduling and unsubscribe replies.
Consent and opt-outs
Make permission and opt-outs part of your template
Record customer opt-in before preparing your audience, and keep the signup source, agreed message purpose and consent wording alongside each contact record.
Include a clear STOP opt-out instruction where appropriate. WASenderPlus provides opt-out handling; review its documented behavior for your workflow, since external spreadsheets do not inherit every preference change.
Audit queued sends, recurring imports and connected contact lists after an unsubscribe. Treat suppression as a workflow requirement, not merely a sentence in your message footer.
Platform policy and applicable law are separate matters. Have US messaging practices reviewed for your actual channel, use case and jurisdiction rather than reusing SMS assumptions.
Permission belongs to the recipient
A referral gives you context, not the recipient’s permission. Ask your referrer to share an invitation to opt in rather than adding the contact directly.
Check the complete unsubscribe path
Test a STOP reply before launching your campaign. Check the contact record, future audience selection and pending sends. Document any manual suppression steps your setup needs.
Keep service and promotion distinct
Separate order notifications from promotional offers in your consent records. A customer requesting delivery updates has not necessarily agreed to newsletters or seasonal campaigns.
Match each message to a real customer action
Use an order reference, booking record or requested quote—not a generic reason to contact everyone.
Healthcare
Appointment confirmations, reminders and patient follow-ups.
Travel
Booking confirmations, itineraries and trip updates for travel businesses.
Restaurants
Take orders, confirm reservations and share menus on WhatsApp.
Adapt your template examples to the recipient’s request. Category selection, consent and current sending eligibility still need review for your account and messaging route.
Appointment reminders
Use cases for WhatsApp Templates
Abandoned cart recovery
Remind shoppers about carts they left, with a direct link back to checkout.
Appointment reminders
Confirm bookings and send reminders that cut no-shows.
Post-purchase notifications
Order confirmation, dispatch and delivery updates after every purchase.

WhatsApp template questions
What are WhatsApp message templates?
WhatsApp message templates are predefined message formats reviewed by Meta before use in business-initiated WhatsApp Business Platform messaging. Any example you copy from a web page is a draft, not proof of account approval.
Can I copy an example and send it immediately?
You can adapt template examples as drafts, but check permission, populated fields and your sending route first. On the Platform, wording must be submitted and approved before it can be sent to contacts.
How does the customer service window affect templates?
The 24-hour customer service window opens when a customer messages you and allows free-form replies during that period. Outside it, business-initiated contact needs an approved template.
Your customer’s latest inbound message is the relevant timestamp. Do not use your latest outbound broadcast as the starting point for free-form eligibility.
What is the difference between marketing, utility and authentication templates?
Marketing templates cover promotions, utility templates cover transaction-related updates and authentication templates deliver passcodes. Choose by actual message purpose and confirm current category definitions in Meta's documentation.
Can a utility template include a discount or upsell?
Treat a transaction update containing an offer as marketing content. An order reference does not make promotional wording a utility message, and misclassification is a common rejection reason.
How do I create and submit a Platform template?
In your WhatsApp Business Manager template manager, create the template, choose its category and language, write the body with numbered variables, add header, footer and buttons if needed, supply sample values and submit for review.
Then read the returned status before scheduling anything. WASenderPlus does not submit templates to Meta; use the template manager or an API provider for that step.
How long does Meta template approval take?
Review times vary and Meta does not publish a guaranteed turnaround, so this page does not quote one. Check your account's template manager for current status and plan campaigns only once the template is approved.
Why was my template rejected?
Read the rejection reason shown against the template before editing. Common causes are wrong category selection, placeholder-looking sample data, broken button destinations and prohibited content. Then use your documented resubmission or appeal path.
How do I personalize templates without sending empty placeholders?
Map each template variable to a verified contact or transaction field, preview the populated message and hold incomplete records. Use fallback wording only when your approved structure permits it.
What character limits, media and buttons are supported?
A template can include a text or media header, a body, a short footer and buttons such as URL, call or quick reply. Exact character limits and button counts are set in Meta's current template guidelines, which you should read before designing.
Connector support is often narrower than the Platform itself, so confirm component availability in your own provider's documentation too.
Can I use authentication templates for login codes?
Authentication templates deliver passcodes and may offer copy-code or one-tap autofill buttons, subject to current specifications and app support. Check Meta's authentication-template documentation; an ordinary broadcast draft is not an authentication implementation.
How should I handle opt-outs across broadcasts and spreadsheets?
Keep suppression connected to audience preparation, not only message wording. Test STOP handling, review pending sends and reconcile spreadsheet imports with current preferences. Confirm which steps your setup performs automatically and document the rest.
Does a referral give me permission to send a template?
A referral supplies context, not the recipient’s opt-in. Ask the referrer to share your signup or chat invitation. Prepare a proactive follow-up only after you establish permission appropriate to the intended message.
How can teammates reuse wording and handle broadcast replies?
Keep reviewed wording with its purpose, required fields and reply instructions. WASenderPlus provides a shared number and team inbox. Decide who handles appointment changes, sales questions and opt-outs before launching your broadcast.
Are WhatsApp Business App greetings the same as approved templates?
No. Business App greetings and quick replies are saved wording you control, with no review step. Platform templates are submitted to Meta and can be approved, rejected or paused.
Can I edit templates without affecting scheduled messages?
Editing an approved template can return it to review and change its parameter structure. Review dependent campaigns, language versions and mappings, then reconfirm status and populated previews before scheduled messages proceed.
Why can an approved template still fail to send?
Template approval does not establish every recipient’s eligibility. Inspect the actual send error, current status, suppression and parameter mapping, and check current Meta guidance on marketing restrictions for the recipient's market.
Can I send marketing templates to US phone numbers?
Meta has announced restrictions affecting marketing templates delivered to United States numbers. Check current Meta documentation for the present scope and effective dates before planning promotional sends to US contacts.
Utility and authentication messaging follows different rules. Confirm eligibility per category and record the date you checked, since this guidance changes.
How much do WhatsApp template messages cost?
Check current Meta rates and your provider's fees before budgeting. Charges depend on category, recipient market and applicable charging rules. Keep platform subscription costs separate from messaging charges.
Build templates around the complete messaging workflow
Template examples you can adapt
For an order confirmation (utility purpose), adapt: “Hi [First name], your order [Order reference] is confirmed. View your order details at [Order link]. Reply here if you need help.” Keep the reference tied to a real transaction.
For an appointment reminder (utility purpose), adapt the hero draft and populate the time with an explicit timezone, such as 2:00 p.m. Eastern Time, taken from the booking record rather than typed manually.
For a consented quote follow-up: “Hi [First name], you requested details about [Service]. Your updated quote is available at [Quote link]. Would you like help choosing an option?” Replace every field before sending.
All five drafts on this page are example copy, not account-approved templates. Fields to supply, message purpose and consent scope should be recorded beside each one in your own library.
Promotion and reminder examples, written differently
For a consented product launch (marketing purpose), adapt: “Hi [First name], you signed up for updates from [Business name]. Our [Product] is available. Explore it at [Product link]. Reply STOP to stop promotional updates.”
US recipients: Meta has announced restrictions affecting marketing-template delivery to United States numbers. Check current Meta documentation for the present scope and start date before planning this draft for US contacts.
Consent and approval alone do not make a marketing message deliverable to a US number. Confirm recipient-market eligibility for the specific category, then record the date of that check.
For an existing webinar registration (utility purpose): “Hi [First name], your place at [Event name] is confirmed. It’s on [Event date] at [Event time, with timezone]. Join using [Joining link]. Reply if you need help.”
Reusable copy is not the same as account approval
A WhatsApp template library supplies wording, not approval. On the Platform you write the text, submit it for review and send only the approved version. Treat anything copied from a web page as a draft.
Your WASenderPlus workflow includes a shared number, paced sending, opt-out handling and a team inbox. It is a team messaging tool and does not submit templates to Meta for review.
If you need Platform submission, status synchronization or component-level control, use your Business Manager template interface or an API provider, and keep WASenderPlus for the conversation side.
Choose categories by purpose, not by the opening greeting
Meta groups templates into marketing, utility and authentication. Classify your actual message purpose first; the greeting and tone do not change the category.
An order reference does not turn promotional content into a transactional notification simply because you mention a purchase.
Use that distinction for ambiguous drafts: an existing registration reminder differs from an event invitation. Review requests need context, and a welcome message containing an offer belongs in your promotional review workflow.
Understand the customer service window before following up
The 24-hour customer service window opens when a customer messages your business and allows free-form replies for that period. Confirm the current rule in Meta's messaging documentation before building workflows on it.
The window is anchored to the customer’s most recent inbound message, not your latest outbound campaign or agent reply. An outbound template does not restart it.
Check the latest inbound timestamp before an agent continues with an unstructured sales follow-up. Outside the window, business-initiated contact needs an approved template.
Validate variables with a worked example
Template variables connect predefined text to customer data. Take the body “Hi {{1}}, your order {{2}} is confirmed. Track it at {{3}}.” and map {{1}} to first name, {{2}} to order reference and {{3}} to the tracking URL.
With a record of Dana, SO-10492 and a tracking link, the populated preview reads: “Hi Dana, your order SO-10492 is confirmed. Track it at …”. Read that preview before approving the send.
During pre-send validation, inspect empty cells, invalid links and mismatched languages. Hold incomplete appointment records rather than inventing dates, and keep sample values separate from real customer data.
Know the parts of a template before designing one
A Platform template has up to four parts: an optional header (text or media), the required body, an optional footer for short notes such as opt-out wording, and optional buttons.
In the order-confirmation example, the header could carry the business name, the body holds the mapped variables, the footer carries “Reply STOP to unsubscribe”, and a URL button opens tracking.
Character limits, media types and button counts are specified in Meta's template guidelines and may change. Read the current specification for each component rather than copying limits from a blog post.
Not every connector exposes every component. Before designing media headers, carousel templates or quick-reply buttons, confirm support in your own provider's documentation.
Manage review status separately from campaign readiness
Templates move through statuses such as in review, approved, rejected or paused. Approval is a permission to send a format, not a complete campaign checklist, and status can change after review.
Your audience may still contain missing variables, withdrawn permissions or contacts whose message purpose does not match the template.
When a template is rejected, read the stated reason before rewriting. Common causes include category selection, unrealistic sample data, broken button destinations and prohibited content.
Use your provider’s documented resubmission or appeal process, then recheck status and eligibility before restoring dependent campaigns.
Give shared-number templates an owner and a reply plan
A shared team inbox gives your operators a place to handle campaign replies. Before sending, name the person responsible for the template wording and the person handling customer responses. Record these responsibilities alongside the draft, audience definition and intended action.
Maintain an internal version history even if your sending tool does not provide it. Record wording changes, consent scope and approval references. When colleagues take over conversations, read the latest reply before following up rather than repeating the campaign message.
Keep integrations, schedules and suppression in agreement
For Google Sheets workflows, maintain clear fields for contact details, language, permission and message purpose. A row added to your sheet should not automatically become a send instruction.
For external CRM integrations or event-triggered messages, validate the template identifier and parameter mapping at the handoff. Design duplicate-trigger checks and review failed sends before retrying.
Recheck suppression after imports; an older contact record must not overwrite a newer opt-out, and pending sends need review once permission is withdrawn.
Plan language, timing and workload together
Choose a language-specific template from the customer’s recorded preference, then review the translation and populated fields. US targeting does not mean every recipient prefers English.
Localize appointment dates, timezones and payment amounts from verified records, and spell out months rather than using ambiguous numeric dates. Do not substitute a fallback language that changes your instructions.
Schedule work around customer expectations and available reply coverage. An appointment reminder needs booking context; a payment reminder needs the actual due date.
Use paced sending for queue management, not as evidence that any recipient is eligible for messaging.
Separate delivery troubleshooting from template performance
Start troubleshooting with template status, since an unavailable template blocks sending regardless of audience quality. Then inspect recipient eligibility, suppression and variable errors.
Keep the actual provider error attached to the send record instead of assigning a guessed cause.
Measure delivery, replies, handled conversations and opt-outs using data your tools actually expose, and record your denominator and attribution method alongside results.
A message marked sent is not evidence of delivery, and a customer reply is not evidence of a completed purchase.
Compare tools by workflow fit and current documentation
Compare WASenderPlus with API-oriented template platforms around your operational needs. Ask where your list lives, who controls the number, who submits templates and how replies reach a person.
Read each vendor's current feature documentation rather than assuming equivalent template management across tools.
For template pricing, check current Meta rates and provider fees before budgeting; costs depend on the applicable category, recipient market and charging rules.
Confirm category, recipient country and applicable charging rules before estimating costs for your planned audience.
